There is no production line and no warehouse here. Everything the firm is worth sits in files not everybody should be able to open.

In professional services the work consists of documents, deadlines and confidentiality. That makes the IT question a different one: not “how do I keep the line running” but “who can reach which file, where does it sit, and can I show that afterwards”. A wrongly shared folder is not an inconvenience here but something that has to be explained to a client.

On top of that people work in three places at once: at the office, at home and at a client’s site. A workplace that only runs smoothly at the office gets worked around in the other two — with a private email address, a personal cloud service or a USB stick. That is not unwillingness, it is what happens when the proper route is the slowest one. So we set it up so the proper route is also the easiest one.

Rights that follow the file

Access belongs to a matter or a client, not to “everybody who ever worked on it”. We set rights up by role and by file, with multi-factor authentication, and make sure access moves along: added when somebody joins the matter, removed when they leave it, and closed on the day somebody leaves the firm. What happens is recorded, so the question “who could reach this” has an answer rather than a hunch.

Professional secrecy and liability

Lawyers and accountants have a duty of confidentiality and are subject to professional discipline. That is your obligation, not ours — but it does determine how we work. In practice: our people do not simply enter your files, access from our side is limited and traceable, and what we do is recorded. Our own processes are covered by ISO 9001, ISO/IEC 27001, ISO 14001 and Kiwa NEN 4400-1, and liability insurance is part of the agreement.

Deadlines do not tolerate outages

A deadline in this work is often a statutory one. That makes availability a hard requirement and recovery a tested component rather than an assumption. We agree per system how quickly it has to be back, test that, and deliver the outcome on paper. That is also usable towards your insurer or your professional body.
